Privacy policy

1About us

wherequeersgo is operated by Where Queers Go LTD, a company registered in England and Wales (“we”, “us”, “our”). We run wherequeersgo.com (the website) and the companion iOS app wherequeersgo, a community-built discovery directory of queer venues and events, currently covering the cities listed on the site. References to “the Service” mean both.

When we make material changes to this policy we will flag them on the site and update the “Last updated” date above. Continued use of the Service after any update constitutes acknowledgment of the revised policy.

2Overview

Where Queers Go LTD is the data controller for the personal data described in this policy, subject to the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Venues and event organisers listed in the directory are independent third parties. When you follow a link from our site to buy tickets or visit a venue website, you are leaving our Service and that destination is a separate data controller with its own privacy policy. We are not responsible for their data practices.

3Lawful bases

We process personal data under the following lawful bases:

  • Performance of a contract: creating and running your account, storing your saves, and processing community submissions you have asked us to publish.
  • Legitimate interests: web analytics (on the website), internal notifications when submissions or reports arrive (so we can review them), and fraud and abuse prevention. We have balanced these interests against your rights and concluded they do not override them.
  • Consent: waitlist marketing emails (the form has an explicit opt-in tickbox). You can withdraw consent at any time and it will not affect any processing already carried out.
  • Steps prior to entering into a contract: assessing your application when you apply for an advertised role, at your request. We also have a legitimate interest in keeping a record of applications for a limited period.
  • Legal obligation: where we are required to retain or disclose data by law.

4Information we collect

Account email address: when you create an account on the iOS app, we collect your email address and a password. We use your email to identify your account and to send you one-time codes to verify your address and to reset your password. Passwords are stored by our authentication provider in hashed form; we never see them. Lawful basis: performance of a contract.

Saved spaces and events: when you save a venue or event we store a record linking your user ID to that item, so your saves sync across devices. Lawful basis: performance of a contract.

Community submissions: if you submit a space or event via the submit form we receive the information you provide (name, address, category, opening hours, images, and optionally your name and email). Your submitter email is used only to notify you if your submission is approved. Submissions also trigger an internal notification to our team. Lawful basis: performance of a contract (for your submission) and legitimate interests (for the internal notification).

Content reports: you can report a listing as inaccurate or inappropriate. If you are signed in when you submit a report, your user ID is stored alongside it so we can follow up if needed. Reports from signed-out users are anonymous. Lawful basis: legitimate interests (maintaining the accuracy and safety of the directory).

Waitlist email address: if you join the waitlist on wherequeersgo.com we store your email address to notify you when the app is available. Lawful basis: consent. You actively opt in by submitting the form with the consent tickbox checked. You can ask us to remove you at any time by emailing [email protected].

Job applications: if you apply for an advertised role via our website we collect your name, email address, the location you tell us you are based in, a portfolio link and/or a file you upload, your answers to the application questions, and your availability. We use this only to assess your application. Uploaded files are stored privately and are not publicly accessible.

Website analytics data (web only): wherequeersgo.com uses Google Tag Manager to measure page views and usage patterns such as filter use and ticket-link clicks. This data is processed by Google under their own privacy policy. We do not use it for advertising or profiling and do not share it with advertisers.

App analytics data (iOS app): the iOS app uses PostHog, hosted in the EU, to measure which screens are used so we can improve the app. We deliberately limit what it can see: it never receives your location, your searches, or which venues and events you view or save. If you browse without an account, no profile of you is created at all; if you are signed in, screen usage is associated with your account. The app also uses Sentry, hosted in the EU, to receive crash and performance reports so we can fix problems. These reports contain no IP address and are not linked to your identity. We do not use any of this data for advertising or profiling and do not share it with advertisers. Lawful basis: legitimate interests (keeping the app working and improving it).

Device location (iOS app, on-device only):the iOS app may request permission to access your device’s location. This is used solely on your device, to centre the map on your current position and to pick your nearest city as the starting default when you first open the app. Your location coordinates are never transmitted to our servers and are never stored by us. Declining location permission is fine; the app uses your selected city as the default map centre instead.

Theme preference: the website stores your light/dark theme preference in localStorage under the key mode. The iOS app stores your theme preference locally on your device. Neither is sent to any server and neither identifies you.

5Cookies and similar technologies

This section applies to wherequeersgo.com only. The iOS app uses no cookies and no web-based tracking.

Analytics cookies: Google Tag Manager sets cookies for analytics measurement. The exact cookies depend on the container configuration. See Google’s cookie policy and Google’s privacy policy for full details.

Theme preference: stored in localStorage, not a cookie in the traditional sense. It is never sent to any server.

You can control or delete cookies and localStorage data through your browser settings. Removing analytics cookies will not affect your ability to use the site.

6How we use your information

  • Run the Service and provide its features to you.
  • Show you your saved spaces and events when you are signed in.
  • Review and publish approved community submissions.
  • Act on content reports to keep the directory accurate and safe.
  • Notify our internal team of new submissions and reports (via email and internal messaging tools) so we can review them promptly.
  • Improve the website through aggregated, anonymised analytics (website only).
  • Send waitlist notifications to people who have opted in.

We never sell your data. We show no advertising. We do not create advertising profiles or share personal data with advertisers.

7Who we share it with

We never rent or sell personal information to any third party for their own purposes. We may disclose your personal data to the following categories of third-party recipients, each acting on our behalf under a data processing agreement:

Mapping and geocodingWe may share venue addresses with mapping service providers to place venues on the map. Only venue addresses are shared, never your location or any personal data.

We may also disclose personal data to comply with a legal obligation, enforce our terms, or protect the rights, safety, or property of our users or the public.

8Where your data lives

Your personal data is primarily stored in data centres located in the United Kingdom (London). Some of our service providers may process data outside the UK. Where they do, we rely on appropriate safeguards (adequacy regulations or standard contractual clauses) to ensure your data receives equivalent protection.

9Data retention

We keep personal data for as long as it is needed for the purpose for which it was collected, or as required by law. In practice:

  • Account data(email address, saves): kept while your account is active. When you delete your account (in-app: Profile → Settings → Delete account, or by emailing us) your account record, email address, and saved items are permanently removed.
  • Community submissions: retained for as long as the directory operates, as they form the community record. Submissions may be retained in anonymised or administrative form after a removal request.
  • Content reports: retained in administrative form for as long as is reasonably necessary to investigate and resolve the reported issue.
  • Waitlist emails: kept until you ask to be removed, or until the waitlist programme ends.
  • Job applications: kept for 6 months after the role closes, then deleted. If you are appointed, your details move into our working relationship with you and are kept under that relationship instead.

10Your rights

Under UK GDPR you have the following rights regarding your personal data:

  • Access: request a copy of the personal data we hold about you.
  • Rectification: ask us to correct inaccurate or incomplete data.
  • Erasure:ask us to delete your data (“right to be forgotten”). Account deletion is available in-app; you can also email us.
  • Restriction of processing: ask us to pause processing while a dispute is resolved.
  • Portability: receive your data in a structured, machine-readable format.
  • Objection: object to processing carried out on the basis of legitimate interests.
  • Withdrawal of consent: where we rely on consent, you can withdraw it at any time. This does not affect the lawfulness of processing carried out before withdrawal.

To exercise any of these rights, email [email protected]. We will respond within one month and may ask you to verify your identity first.

You also have the right to lodge a complaint with the UK supervisory authority, the Information Commissioner’s Office (ICO) (ico.org.uk, helpline 0303 123 1113). We would appreciate the chance to resolve any concern directly first, so please contact us before approaching the ICO.

11Children

The Service is not directed at children under 13. We do not knowingly collect personal data from anyone under 13. If you believe a child under 13 has provided us with personal data, please contact us at [email protected] and we will delete it promptly.
